Openhand Bookings and Cancellations Policy

Booking terms and conditions

We trust you’ll have wonderful and illuminating experiences at the Openhand Events. However for various reasons you may not be able to attend. Please familiarise yourself with the terms and conditions before you book.

What happens if you need to cancel an event with Openhand?

We ask you to understand and empathise with how Openhand runs as a not for profit organisation; how we shape events; and seek to make our events accessible to all people regardless of background and financial circumstances. If you are familiar with us, you may realise our work currently attracts intimate group numbers as relatively few are delving into the advanced nature of our philosophies and enquiries. We do not monetise the website through advertising, so our modest revenues are gained from retreat bookings. In practical terms this means when you pay for an event, the funds go not just to that event but also meet all the Openhand day to day running costs and enabling someone financially constrained to attend. This means that it’s not straightforwards to reallocate monies in the event of cancellation due to them already being committed.

Advance bookings 

If you book an online event more than 30 days in advance but have second thoughts, then there is a 7 day cooling off period where we will readily refund either your deposit or full payment. In some circumstances we may consider transferring part of a full payment to an appropriate future event which you discuss with us. Email us here: admin@openhandweb.org  After the cooling off period or if you book less than 30 days ahead, your payment is not refundable.

Balancing Payments due 30 days before an event

If you paid a non- refundable deposit, your balancing payment for any event is due 30 days before the event begins. Please note the due date as it is your responsibility to send this to us on time. Funds cannot be returned from this point onwards.

Terrestrial Events Going Online in the Event of Travel RestrictionsWhere a terrestrial event cannot go ahead as scheduled due to imposed travel restrictions (virus measures etc), in that the organisers are not allowed to travel to the venue or other local participants, then we reserve the right to transfer the event online. The cost of accommodation and food will be subtracted from the originally listed price.

Terrestrial Event Cancellations

Cancellations within 30 days of a terrestrial event:
If there is a wait list we may be able to resell the place, and if the place is filled, then we will transfer 75% of the full event cost payment to another event within 12 months. This can sometimes flow, however the closer to the event date, the slimmer the chances may be. Even interested people are often unable to take a space at short notice; flight or train costs may have escalated to an unattractive level, so opportunities for resale can be slight.

Terrestrial Events and Travel Restrictions

Where a terrestrial event cannot go ahead as scheduled due to imposed travel restrictions (virus measures etc), so that the organisers or other local participants are not allowed to travel to the venue, then we reserve the right to transfer your place to an online version of the event. The cost of accommodation and food will be subtracted from the originally listed price and given to you as a credit for a future online retreat. We ask for your understanding as at times like these we may have substantial costs to absorb. Any other possibilities will be considered according to prevailing circumstances.
