Booking terms and conditions

We trust you’ll have wonderful and illuminating experiences at the Openhand Events. However for various reasons you may not be able to attend. Please familiarise yourself with the terms and conditions before you book.

What happens if you need to cancel an event with Openhand?

Openhand operates as a not-for-profit organisation, where our aim is to make the work as accessible to people around the world, in all walks of life, with many varied situations and living circumstances – we do this with love and care.

After an acceptable cooling-off period possibility (see below), several things happen to allocate the funds paid: Firstly, the funds are apportioned to pay for the venue, accommodation, food requirements, and other admin hosting costs; Secondly, it means we can then offer bursary or even donation based places to people with very restricted financial resources – from impoverished countries, for example.

Because of this, it is not straightforward to reallocate your funds in the event of cancellation, since they will already have been committed. We ask for your understanding in this. It means we can offer cost-effective events, and no one needs to be excluded by cost.

Advance Bookings 

If you book an online or terrestrial event more than 30 days in advance, but have second thoughts, then there is a 14-day cooling-off period (we are regulated under British Law), whereby we will readily refund either your deposit or full payment.
After the cooling-off period or if you book less than 30 days ahead, your payment is not refundable. If you have booked more than 30 days in advance, although we are not able to repay the funds, we may be able to transfer part of them to a future event, on a case-by-case basis, and depending on whether we’re able to resell the ticket and the alternative event takes place within 12 months. Balancing Payments due 30 days before an event

If you paid a deposit, your balancing payment for any event is due 30 days before the event begins.
Please note: All deposits for events (after the 14-day cooling-off period) are non-refundable.

Terrestrial Event Cancellations

Once you have booked a terrestrial event, there is the standard 14-day cooling-off period, where should you decide you made the wrong decision to attend, we will return the balance of your funds, less any admin costs, such as for money transfer and return (it will take up to 7 working days to return the funds).
Outside of this 14-day cooling-off period, funds cannot be returned, as they will already be allocated to the event venue booking and admin costs, plus also supporting other bursary or donation-based places. However, where more than 30 days’ notice is given of cancellation prior to the event, we will endeavour to transfer at least part of your funds to a future event, providing the new event takes place within 12 months. This is considered on a case-by-case basis.

Terrestrial Events and Travel Restrictions

Where a terrestrial event cannot go ahead as scheduled due to imposed travel restrictions (virus measures etc) or if there is some catastrophic event that prevents travel for the organisers and bulk of the participants, then we reserve the right to hold the event online, or transfer your place to another online version of the event in the future (within 12 months). We cannot, however, return terrestrial costs of the event (outside of the 14-day cooling-off period), such as food and accommodation, as we’re unlikely to be able to reclaim those from event venues ourselves. In a turbulent world in the Shift, it’s a risk that we each have to take .
